This Privacy Statement is issued by Prince Hill Wines Limited and its related entities and may be updated from time to time.
Prince Hill Wines Limited is subject to amendments made to the Privacy Act 1988 (Cth) by the Privacy Amendment (Private Sector) Act 2000 (Cth) (the “Privacy Act”) effective as at 21 December 2001 which deal with the way personal information is collected, used, disclosed and maintained.

Prince Hill Wines is committed to protecting the privacy of your personal information and to handling this information in accordance with the Privacy Act. To that end, Prince Hill Wines has adopted the National Privacy Principles (‘NPPs”) as its privacy standard. You may obtain a copy of the NPPs from the Federal Privacy Commission’s website at www.privacy.gov.au by following the appropriate links.
Exception in relation to employee records: Prince Hill Wines is not bound by the NPPs in relation to Prince Hill Wines handling of an employee record, if the treatment is directly related to the current or former employment relationship between Prince Hill Wines and the employee.

What is “personal information”?

“Personal information” is generally defined under the Privacy Act 1988 to mean information or an opinion (whether true or not, and no matter how it is stored) about an individual whose identity is able to be ascertained from that information or opinion.

What information do we collect from you, and how do we collect it?

We collect information from individuals in the following ways:

  • Register: If you are or become a holder of securities in Prince Hill Wines Limited, we will have access to personal information about you which is necessary under our legal obligations under the Corporations Act 2001 (Cth) to maintain our statutory registers. We may also collect your tax file number and bank account details for use in connection with your security holding in Prince Hill Wines Limited.
  • Cellar Door: If you phone or visit the Cellar Door at our Mudgee Winery, you may choose to give us your name and address details for inclusion on our mailing list or when giving an order for wine.
  • Website: You may provide us with personal information when emailing us your comments or requests via one of our related websites.
  • Competitions and Surveys: You may choose to give us some personal information by participating in a competition held or survey conducted by Prince Hill Wines. These competitions or surveys may occur in a number of ways, including through our websites, by email, telephone or mail.

How do we use your personal information?

We use your personal information to: · register your holdings in our securities, and send you communications in relation to those holdings;

  • send you information about our latest wine releases, events, functions and special offers if you have given your details to us for inclusion on our Cellar door mailing list;
  • process orders you have given us for wine and related products sold through our Cellar doors;
  • maintain and update our website.

Disclosure of personal information to third parties:

As with many listed companies, we outsource the maintenance of our securities registers. Personal information about you which is maintained and used by our share registry provider is held subject to the Privacy Act.

From time to time, we may engage contractors to perform certain functions for us, such as mail-house operations in connection with our securities registers or cellar door communications, where it will be necessary to disclose personal information to that contractor in order for those functions to be performed.

There will be some cases where we are required or authorized by law to disclose your personal information to third parties such as the Australian Taxation Office in connection with your securities holdings, or by court order. Certain company registers are made available for inspection to members of the public as required under the Corporations Act 2001 (Cth). Any personal information disclosed to third parties is protected by a confidentiality agreement between the third party and Simon Gilbert.

Management and security of personal information held by Prince Hill Wines.

Prince Hill Wines has appointed a Privacy Officer to oversee Prince Hill Wines’ management of personal information in accordance with this policy.

Personal information we hold about you is protected by password and other security measures. Only Prince Hill Wines’ personnel and third party contractors who need access to this information to perform their business tasks will be given access to your personal information.

Anonymity:

If practicable, you can contact and deal with us on an anonymous basis, and no personal information will be collected about you in those anonymous transactions.

How do you correct or gain access to personal information held about you by Prince Hill Wines?

You can, in most cases, gain access to personal information we hold about you. If you believe we hold inaccurate or out-of-date information about you, we will endeavour to correct or update the information once our internal security procedures have been met.
